Plan the project lead's event-day travel
We can travel to your event when the scope needs it; agree terms before anyone books a ticket.
…
The short answer
Enter the host city, the event days, the hours needed each day and a few travel choices. The planner returns a short summary of what still needs agreeing: arrival time, hours on site, authority on site, who books travel and a local contact.
It does not give prices, journey times or flight details. An answer you leave blank or mark undecided stays that way.
What to enter
- Host city, chosen from the list or typed in.
- Event days that need the project lead on site, and the hours needed each day.
- Whether travel and accommodation are in the agreed scope: yes, no or undecided.
- What the client has arranged for its own travel.
- Whether a local contact is named for the event day.
What you get back
The summary lists seven items. Each one is marked To agree, Undecided or Noted, with a line saying what to settle.
Items that need action are also collected into a short list of open actions. You can copy the summary or save it as a table.
| Item | What the planner asks you to settle |
|---|---|
| Arrival time | When the project lead must be on site on the first event day, and what happens if that moves. |
| Hours on site | Start and end time each day, and any breaks. |
| Authority on site | What the project lead may decide without calling you, and who decides in the end. |
| Travel and accommodation scope | In scope, not in scope or undecided. |
| Who books travel | Who books what, and by when. |
| Charged when in scope | Travel and accommodation are charged when they are in the agreed scope. Amounts are agreed in writing. |
| Local contact | Who answers local questions on the day. |
How it treats gaps
An undecided answer stays undecided. The planner does not turn it into a yes or a no.
If no local contact is named, that becomes an open action. The planner does not assume someone will cover it.
Where it fits
The planner is for any event where our project lead travels for event day. This is most often outside Kuala Lumpur, Selangor and Seremban, where we plan remotely and travel as agreed. For the full picture, read how coverage works across Malaysia.
To understand each item before you enter it, read how event-day travel is scoped.
Worked example · Fictional example
A fictional two-day conference
Fictional organisation and figures, for illustration only.
Persatuan Fiktif organises a two-day conference in Kuching. It needs the project lead on site for 10 hours each day, so 20 hours in all. Travel scope is undecided, the association has arranged part of the travel itself, and no local contact is named yet.
The summary shows travel scope as Undecided, who books travel as To agree, and the missing local contact as an open action. The association now has three clear things to settle before the scope is written.

Handle it in-house, or bring in help?
Your team can usually handle this when
- The client books its own travel and a local contact is already named.
- Event days and hours are fixed and the scope is easy to write down.
Outside planning help earns its fee when
- Travel scope is undecided and several people hold part of the decision.
- No local contact is named and nobody is sure who covers local questions.
- You would like someone to agree the scope with suppliers and the host and keep it current.
Want someone to handle the event-day scope?
Send us your summary. We can agree the event-day scope with you, keep the open actions moving and attend on the day as agreed. Travel and accommodation are charged when part of that scope. We will reply with the level of support that fits and what it would cover.
Questions organisers ask
Does the planner give travel costs or journey times?
No. It shows no amounts, journey times or flight details. Travel and accommodation are charged when they are in the agreed scope, and amounts are agreed in writing.
What does Undecided do?
It stays Undecided in the summary and appears as an open action. The planner does not guess.
What if I have no local contact yet?
The summary lists it as an open action. Name a contact before event day so local questions have an owner.
Can the planner be used for events in Kuala Lumpur or Selangor?
Yes. It is built for event-day trips, but it works anywhere in Malaysia. In Kuala Lumpur, Selangor and Seremban, where we work most, on-site support is agreed in the scope in the same way.
