Running association and member events
Your association runs member events with a small secretariat and a committee that changes every year.

The short answer
Association events succeed when members know what is happening, the committee knows who decides, and the year's events fit together. We manage the agreed scope, and coordinate specialists such as venue, audio-visual and registration providers when it needs them.
Governance, member decisions and the programme stay with your committee. We hold the timeline, the communications calendar and the supplier handovers, so the secretariat is not carrying everything alone.
Who it is for
- Association secretariats delivering member events alongside daily member work.
- Committee chairs and event sub-committees who volunteer their time.
- Chapter and branch organisers who run regular member programmes.
- Professional bodies whose events include dinners, forums, seminars and annual gatherings.
The problems it solves
- Committee roles are unclear, so tasks sit with whoever last mentioned them.
- Member communications go out late, inconsistently or from several people.
- Events cluster in a few months and compete with each other and with other calendars.
- Knowledge leaves with each committee, and the next team starts again.
- Registration and member categories are handled differently every time.
Decisions to settle early

| Member communications and approvals | Secretariat | A communications calendar with approvers and send dates |
| Handover record for the next committee | Secretariat | A close-out pack: documents, supplier notes, lessons and open items |

What is included and what is not
A typical scope covers the event plan, the committee responsibility matrix, the communications calendar, supplier briefs, registration design, on-site coordination and a handover pack for the next committee.
- Not included: constitutional or governance decisions, voting procedures and legal advice. These stay with your committee and the authorised secretariat.
- Not included unless agreed in the scope: speaker fees, venue and supplier costs.
- For annual cycles, see recurring member-event programme management.
How an engagement works
- Share the event idea, the committee structure and the annual calendar.
- Agree the scope, the level of support, authority limits and reporting in writing.
- We build the plan, the responsibility matrix and the communications calendar with your secretariat.
- We coordinate suppliers and committee tasks up to the event, keeping the decision log current.
- We support the event on site as agreed, then hand over a pack your next committee can use.
What happens after you enquire
We read your brief and ask a few questions: the event type, how the committee decides, the member audience and the date window. You then receive a written proposal with the scope, the factors behind the fee and what would change it. See fees and quotations. Nothing starts until you approve the scope.
Where we work
Planning and project management can be delivered remotely anywhere in Malaysia. On-site support and travel can be arranged anywhere in Malaysia when the scope needs it. We work most often in Kuala Lumpur, Selangor and Seremban.
Travel and accommodation are charged when they are part of the agreed scope. See areas and on-site arrangements.

Worked example · Fictional example
A fictional association and its year of events
Fictional organisation and figures, for illustration only.
A fictional engineers' association runs a members' dinner, two seminars and a conference in one year. The dinner and the conference have both been planned for the same fortnight, and two committee members are named on both.
A calendar view shows the clash and the committee moves the dinner. The responsibility matrix names a lead for each event, and a close-out pack gives next year's committee the supplier notes and dates.
Use this yourself
Member event plan
Complete this for each event in the year. A line left empty is a decision for the committee.
- Event purpose and which members it serves.
- Committee lead and named owners for programme, finance, communications and registration.
- Decision rules: who approves what, and how quickly decisions are needed.
- Place in the annual calendar, with clashes against other member and industry dates noted.
- Member categories and registration rules approved by the committee.
- Member communications calendar: first announcement, reminders, final details and follow-up.
- Message approver and the date each message needs approval.
- Supplier list with contract holder and contact for each.
- Budget approval route and who signs.
- Volunteer roles for the event day and a briefing date.
- Feedback from members and how it reaches the next committee.
- Handover pack: documents, supplier notes, lessons and open items.
Handle it in-house, or bring in help?
Your team can usually handle this when
- The committee is stable, roles are clear and past documents exist.
- Events are few and spaced across the year.
- The secretariat has capacity to run communications and registration.
Outside planning help earns its fee when
- Committee roles keep changing and knowledge is lost each year.
- Several events overlap and the secretariat is stretched.
- Member communications and registration are handled differently every time.
Want help carrying the member events?
A project lead can hold the timeline, the responsibility matrix, the communications calendar and the supplier handovers within a scope agreed in writing, while the committee keeps the decisions. Send us the plan above and the roles you have not settled yet, and we will reply with the level of support that fits and what it would cover.
Questions organisers ask
Can you manage the whole year of events?
Yes. A recurring programme can be agreed as a scope covering several events. See recurring member-event programme management.
Do you take part in committee decisions?
Decisions stay with the committee. We prepare papers and options, keep the decision log and carry out what the committee decides.
Can you handle member communications?
We build the calendar and draft messages for your approval. Your secretariat approves what goes out.
Does this cover AGMs?
We can support the logistics of a meeting. Governance, quorum and voting stay with the authorised secretariat. See the AGM support guide.
Can you support events outside KL, Selangor and Seremban?
Yes. Planning can be done remotely anywhere in Malaysia, and on-site support can be arranged when the scope needs it. See areas and on-site arrangements.
