What drives event costs in Malaysia and comparing quotes
Three quotes arrive in three formats and you need to see which one really costs less.
The short answer
Most event bills are built from the same handful of components: venue, food and beverage, tax and service charge, audiovisual and production, people, travel, permits, registration and printing, and a contingency. Ask every supplier to price the same components on the same assumptions, with tax and service charge shown on separate lines, and quotes can be compared like for like.
Prices depend on your date, city, attendance and programme, so the focus is on the components, the questions and a comparison method that work with your own quotes.
The main cost components
| Component | What sits inside it | Ask the supplier |
|---|---|---|
| Venue hire | Room hire, setup and breakdown time, overtime, standard equipment | What hours does the rate cover, and what is included in the room? |
| Food and beverage | Per-person packages, minimum spend, refreshment breaks, dietary needs | Is there a minimum spend or minimum guarantee, and when do final numbers lock? See the catering minimum-guarantee calculator. |
| Tax and service charge | Service tax, service charge, the ++ on a price | Please show each separately for every line. See SST and service charge on quotes. |
| Audiovisual and production | Sound, screens, lighting, recording or streaming, interpretation, crew | Who supplies it, and what are the load-in and operator hours? |
| People | Registration desk, ushers, event staff, speakers and moderators, your own team's time | Who is on site, for how long, and who supervises? |
| Travel and accommodation | Speaker and guest travel, team travel, site visits | Which trips are in the scope and who books them? |
| Permits and approvals | Authority fees and approvals that depend on the event and location | Which approvals apply and who applies? See permits and approvals. |
| Registration, marketing and printing | Registration platform, invitations, signage, printed materials | What is charged per transaction, per item or as a flat fee? |
| Contingency | A line held for changes | Who may approve spending from it? |
How quotes are usually structured
A supplier may quote a package (one price for several items) or an itemised list. A package is quick to read but hides what is inside, and an itemised list shows more but can leave items out.
Check whether prices are inclusive or exclusive of tax and service charge, how long the quote is valid, what the payment and cancellation terms are and which items are optional.
Why the same event is priced differently
Quotes vary because the brief varies. State these in your brief so every supplier prices the same event: date and day of the week, number of attendees, hours, number of rooms, programme length, catering style, audiovisual needs and any travel for speakers or staff. The event brief builder helps you write them down once.
Comparing quotes like for like
- Send every supplier the same brief and the same list of components.
- Ask for tax and service charge on separate lines.
- Put the quotes side by side in the supplier quote normaliser or a simple table.
- Mark what is missing from each quote and ask for it in writing.
- Compare the all-in total and the conditions, not only the headline rate.
- Use comparing quotations fairly to score the quotes against your criteria.
Tax and service charge
MySST publishes a general service tax rate of 8% from 1 March 2024, with food and beverage staying at 6%, and lists rental or leasing among services added from 1 July 2025. Rates and scope differ by service type, so ask each supplier which rate it applies to each line and confirm with the Royal Malaysian Customs Department (MySST) or your tax adviser.
Contingency and approvals
Keep a contingency line in the budget and agree with your finance team who can approve spending from it. Carry the tax-inclusive total into the budget approval summary and track changes with the event budget builder and per-attendee cost calculator.

Handle it in-house, or bring in help?
Your team can usually handle this when
- You have one venue and one caterer, and a finance team that reads each line.
- Your brief is settled and suppliers already quote on the same basis.
Outside planning help earns its fee when
- Several quotes arrive in different formats and you need them on one comparable basis.
- Your committee wants a budget with tax, service charge and contingency visible before approval.
- You need supplier requirements written so every quote answers the same questions.
Want quotes you can compare directly?
An Event Blueprint writes the brief and the supplier requirements so every supplier prices the same components, and lays the quotes side by side for your decision. We prepare it remotely for events anywhere in Malaysia. Send us the quotes you hold, and we will reply with the level of support that fits and what it would cover.
Questions organisers ask
Why do two quotes for the same event differ?
Usually the inclusions, hours, tax treatment or conditions differ. Ask both suppliers to answer the same list of questions.
Does ++ mean the price is final?
It usually means a service charge and tax are added. Ask the supplier to show the full amount.
What should the contingency cover?
Changes in attendance, extra hours or a late request. Agree with your finance team who approves its use.
Where can I find prices?
Request written quotes for your date and numbers. Prices change with those details, so a quote is more reliable than a general figure.
