The short answer

The Sabah page covers flights and the buffer. What comes next is the instructions your delegates read before they travel.

Write them as simple steps from the arrival hall to the registration desk. Let the venue, the airport and the city hall each confirm their own part.

What delegates need before a morning opening

Delegates who land early are tired and want one clear route. A message that only names the venue leaves them guessing about the entrance, the drop-off point and where to register.

Send one short set of steps per arrival group. Keep each step to one action.

What to verify for Kota Kinabalu

  • Which entrance do delegates use, and is it open at registration time? Ask the venue in writing. SICC's own site names a Guest Services desk at the Level 3 main entrance, so confirm which door applies to your session.
  • What are the hall capacities and layouts? The Sabah government page and SICC's own site give different figures. Ask SICC in writing and print nothing until it answers.
  • How long does it take to get from the airport to the entrance? SICC's site states a journey time but also carries placeholder text. Ask the venue to confirm it in writing, and record the answer with its date.
  • Where do cars, taxis and coaches drop off, and who manages the area? Ask the venue.
  • Do you need a permit for signage, road use or a temporary activity around the venue? Ask Dewan Bandaraya Kota Kinabalu (DBKK). Its site lists licence and planning services but shows no event-permit procedure.
  • Which morning flights can your delegates take on your dates? Ask the airlines and the airport operator for your dates.
  • Which other venues could host you? The Sabah Convention Bureau lists four venues with contacts only. Ask each one directly.
  • Which dates fall on the Sabah weekend or a public holiday in Sabah or a delegate's home state? Use the host-city date checker, then confirm with the host.
  • Who owns the instructions and updates them if a flight or the entrance changes? Name one person.

The last stretch inside the city

The state page covers entry steps and the flight buffer. The last stretch is inside the city.

SICC describes itself as on the Kota Kinabalu seafront beside the port. Use that only as a reference point, and let the venue confirm the route and the entrance in writing. For a smaller Sabah city, see Sandakan.

How to write the instructions

  1. Group delegates by how they arrive: flight, taxi, coach or own car.
  2. For each group, write the steps from the arrival hall to the drop-off point.
  3. Name the entrance and the registration desk, using the words the venue gave you.
  4. Add what to do if the entrance is closed or the flight is late.
  5. Ask the venue to read the draft and correct it.
  6. Send it to delegates, and send a short update if anything changes.

Coverage and travel

Planning support covers Malaysia, including Kota Kinabalu. Planning can be done remotely, and on-site support and travel can be arranged when the scope needs it. We work most in Kuala Lumpur, Selangor and Seremban.

Travel and accommodation are charged when they are part of the agreed scope. For the wider picture, see planning across Malaysia.

Worked example · Fictional example

A fictional association writes its opening instructions

Fictional organisation and figures, for illustration only.

The Persatuan Fiktif Juruaudit Dalaman plans a one-day forum for about 90 delegates in Kota Kinabalu. Its first message says: the forum is at the convention centre, doors open early.

The revised message has three short routes by arrival group, the entrance name as the venue wrote it, a drop-off note from the venue, and a named person to call if a flight is delayed.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Delegates are few and arrive in one group.
  • The venue already publishes clear arrival steps.
  • Your team can visit before the event.

Outside planning help earns its fee when

  • Delegates arrive in several groups on different flights and nobody owns the message.
  • The committee is far from Kota Kinabalu and needs the venue, airport and city hall questions chased.
  • The opening is early and a late flight would move the whole programme.

Would you like someone to prepare the arrival pack?

A conference project lead can draft the instructions with you, put the entrance, drop-off and permit questions to the venue and the city hall and keep the comparison in one place. We can also manage the whole event and coordinate the specialists it needs, where that suits your scope. Planning can be done remotely, and on-site support and travel to Kota Kinabalu can be arranged when the scope needs it. Travel and accommodation are charged when part of the agreed scope. Send your venue and where delegates fly from, and we will reply with the level of support that fits and what it would cover.

Questions organisers ask

How early should a morning opening start in Kota Kinabalu?

Set the start from your airline and venue answers, then leave room for a late flight.

Can I print the SICC hall capacity?

Not yet. The published figures differ, so ask SICC to confirm in writing first.

Do I need a permit for signage outside the venue?

Ask Dewan Bandaraya Kota Kinabalu. Its site shows no event-permit procedure, so the answer needs to come from the council.

Is there an office in Kota Kinabalu?

No. We plan remotely and arrange on-site support and travel as agreed in your scope.
