The short answer

Group delegates by where they start, then write one set of instructions for each group. Rail delegates need the service and the station. Road delegates need the approach to the venue. Everyone needs the last stretch to the entrance.

Check rail with KTMB, check the last stretch with the venue, and record who confirmed what and when. Whether to hold the event in Ipoh or another Perak town is a separate decision, covered on the Perak page.

What to verify for Ipoh

  • Where does each group start? List the cities and the number of delegates from each, using your own registration data.
  • Which rail services will they use? KTMB lists Ipoh as a key ETS station, on a KL Sentral to Ipoh route and on the Gemas, KL Sentral, Ipoh, Butterworth and Padang Besar route. Ask KTMB for the timetable for your date. Its ETS page links to online ticketing.
  • Will anyone use Komuter? KTMB lists an Ipoh to Butterworth Komuter route and a 2023 extension of the Northern Commuter Service to Kuala Kangsar, Sungai Siput and Ipoh. The page gives no full station list, so ask KTMB which services run on your date.
  • How do rail delegates get from the station to the venue? Ask the venue in writing, then check it on site. Do not copy a time from a map. Perak Corp, for example, lists the Casuarina Convention Centre in Bandar Meru Raya, Ipoh. Whichever venue you choose, ask the same question.
  • What is the approach by road from each direction? Ask the venue to describe it in plain steps. Ask the road operators and the council about closures on your dates.
  • Which council covers the address, and which permits apply? The Majlis Bandaraya Ipoh (MBI) portal lists enquiry and licensing channels. Ask MBI what applies to your event and any road closure.
  • Will anyone fly? Scheduled services to Ipoh are not confirmed. Ask Malaysia Airports whether they run on your dates.
  • Who meets delegates, and where? Name one person and one registration point.

Ipoh is on a north-south rail line

Ipoh is a stop on a north to south rail line, so delegates can arrive from both directions as well as by road. Each group needs its own wording.

Worked example · Fictional example

A fictional association drafts its arrival instructions

Fictional organisation and figures, for illustration only.

The Persatuan Fiktif Pengurus Logistik holds a one-day conference in Ipoh for about 150 delegates. Around 60 come from Kuala Lumpur by ETS, 40 come from the Butterworth direction, and 50 drive.

Its first draft says come to Ipoh. The revised draft has three versions, one for each group, each with its service or approach, the venue's entrance and a last stretch that the programme chair checked on a named date.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Most delegates come from one direction by one route.
  • A committee member can visit the route before the event.
  • The venue already publishes clear directions for rail and road.

Outside planning help earns its fee when

  • Delegates come from several cities by rail and road, and each group needs different wording.
  • Your committee is outside Perak and cannot test the routes.
  • Nobody owns the instructions and each person has a different version.

Want someone to draft and check the arrival plan?

We can collect the answers from KTMB and the venue, and keep the arrival plan in one place. We plan remotely and can arrange on-site support and travel to Ipoh when the scope needs it. If you would rather hand over the whole event, we can manage it end to end through full-service event management, or lead the planning with your team through event project management. Travel and accommodation are charged when part of the agreed scope. Send your venue address and where delegates travel from, and we will reply with the level of support that fits and what it would cover.

Questions organisers ask

Which trains serve Ipoh?

KTMB lists Ipoh as a key ETS station and names an Ipoh to Butterworth Komuter route. Ask KTMB for the timetable for your date.

How long does it take to get from the station to the venue?

Verify the last stretch on site and write the steps, not a time.

Do scheduled flights serve Ipoh?

This is not confirmed. Ask Malaysia Airports whether services run on your dates.

Which council do we ask about permits?

Ask the venue for its full address, then ask MBI whether it covers the address and what applies.
