The short answer
Check each candidate date three ways: the host state's weekly rest days, the host state's holidays, and the holidays in the states your delegates and speakers come from. Record what you checked and where you found it.
Your phone calendar shows federal holidays well but can miss state differences, so treat a date as clear only after the host confirms it.
Why one calendar is not enough
Malaysia publishes federal and state holidays together in one yearly schedule, and some state holidays apply only in some states. A date can be ordinary in Selangor and a holiday in another state.
Weekly rest days also need checking. Do not assume the host works the same days as your head office. Ask the host which days it is open, and confirm in writing.
The checks, in order
- Name the host state and the state of each group of delegates, speakers and key suppliers.
- List two or three candidate dates. Check every one, not just the favourite.
- For the host state, ask which days are the weekly rest days this year, and when the venue, council or host office is open.
- Look up the host state's holidays and each delegate state's holidays for the year of your event, using the official yearly schedule.
- Check whether a holiday falls on a rest day. A replacement day may apply, and the rule can differ by state.
- If many delegates are teachers, parents or public servants, look at the school holiday groups as well.
- Write the result in the date-check log below, and ask the host to confirm the date you prefer.
Replacement days: where dates get missed
Under section 3 of the Holidays Act 1951, a holiday that falls on a state's weekly holiday moves to the next day. The Cabinet Division's page for 2026 lists 2 June 2026 as the substitute for states with a Sunday weekly holiday.
States describe this differently. Johor's holiday notice says a holiday on Sunday is replaced and a holiday on Saturday is not. Kelantan's notice describes its own replacement rule for its weekly rest days. Read the notice for the state you are using, and ask the host to confirm the replacement day.
Holidays that apply only in some states
State holidays such as a ruler's official birthday are set by the state. In 2026, for example, the Johor notice lists the Sultan's official birthday on 23 March. Another state will have its own dates.
Some dates in the schedules are marked as subject to change. Use the schedule as a starting point, and check the host's current notice before you commit.
School holidays are a separate question
The Ministry of Education calendar for 2026 puts states into two groups, Kumpulan A (Kedah, Kelantan and Terengganu) and Kumpulan B (the rest). The groups have different extra holiday dates.
This matters for events with many teachers, or where delegates bring family. It is a school calendar, not a statement of anyone's weekly rest days, so use it only for school dates.
Use the tool, then verify
The host-city date checker flags a date against the host state's weekend and the holidays in the states you select, using a dated table. It marks any date outside its table year as unchecked, not clear. Treat its result as a first pass, then confirm with the host.
To place the confirmed date in your plan, see the reverse planning calendar and date conflict analysis. For the wider picture of running an event outside Kuala Lumpur, see professional-event planning across Malaysia.
Worked example · Fictional example
A fictional association tests three dates
Fictional organisation and figures, for illustration only.
Persatuan Fiktif Jurutera Pelabuhan plans a one-day seminar in Johor Bahru. About 120 delegates will come from Johor, Selangor and Kedah, and two speakers from Sabah.
The secretary tests three dates. One is the Monday of the Sultan of Johor's official birthday, so it is dropped. One falls in the school holiday period of the Kedah group, so she asks the Kedah members whether that affects attendance. One looks clear, and she sends the log to the venue and asks for written confirmation of its opening days.
| Date | Host check | Delegate states | Result |
|---|---|---|---|
| Date A | Johor holiday listed | Not needed | Dropped |
| Date B | Nothing listed | Kedah school holiday group | Ask members, then decide |
| Date C | Nothing listed | Nothing listed | Confirm with the venue in writing |

Date-check log
Copy this into a spreadsheet. Fill one block for each candidate date.
- Candidate date and day of the week:
- Host state and host city:
- Host's weekly rest days this year, and who confirmed them:
- Host state holidays on or near this date:
- Delegate states checked (one per group):
- Holidays in each delegate state on or near this date:
- Is a replacement day involved? Which state rule did you read:
- School holiday group that matters, if any:
- Source used and the date you checked it:
- Host's written confirmation of the date (name and date):
- Decision: keep, drop or ask more:
Handle it in-house, or bring in help?
Your team can usually handle this when
- Host and delegates are all in one or two states and you have enough time to plan.
- You can ask the host directly and wait for a written answer.
- One person can keep the log up to date.
Outside planning help earns its fee when
- Delegates and speakers come from many states and the date keeps moving.
- A date has already been announced and you need to know the risk of keeping it.
- Nobody on the team has time to read each state's notices and chase the host.
Want a second pair of eyes on the date?
We can review your candidate dates against the host and delegate states and set out a short action plan, remotely, as a planning diagnostic for events anywhere in Malaysia. Send the host city, the states your delegates come from and the dates you are considering, and we will reply with the level of support that fits and what it would cover.
Questions organisers ask
Do all Malaysian states have the same weekend?
No. Ask the host which days are its weekly rest days in the year of your event, and ask for the answer in writing.
Where do I find the state holidays for my year?
The Cabinet Division publishes a yearly schedule of federal and state holidays, and each state also publishes its own notice. Use both, and look for the year of your event.
What if a holiday falls on a rest day?
A replacement day may apply under the Holidays Act 1951, and states describe it differently. Read the notice for your host state and ask the host to confirm.
Is the date checker enough?
It is a good first pass. Holidays can be announced or changed later, so confirm the final date with the host before you announce it.
